Check Out Guide

Spring 2025 Move-Out Dates: Monday, May 4 – Saturday, May 9, 2026. Residents should check their University email for complete move-out instructions.

As the spring semester comes to an end, it is time to prepare for Spring Move-Out. Residents should be moved out by Saturday, May 9, 2026. All residents are expected to vacate their rooms within 24 hours of their last exam or by 5:00 p.m. on Saturday, May 9, 2026, whichever comes first.

If the student has a late final exam or extenuating travel arrangements, they may request an extension to remain in their room. They must email our office to request that the Late Move-Out form be activated on their account. Once the form is complete, the student's property manager will review and the decision will be sent via email.

Note: Failure to complete the check-out process will result in charges. After you complete checkout, our department will inspect the room to confirm its condition.

Move-Out Procedures

  1. Clean the room space and remove all personal belongings.
  2. Clean refrigerators and microwaves and dispose of any trash from the room
  3. Ensure that all trash and unwanted items are removed from the bedroom, bathroom, and common areas. If trash/unwanted items are found in the room, cleaning charges will be applied to your account.
  4. All students should complete an Express Check Out envelope at the building's front desk.
  5. Complete all the information on the envelope.
  6. If the student is not returning to live on campus in the Fall and has a PO Box key, place the PO Box key in the Express Check Out envelope.
  7. The Ozzi token should be placed in the Express Check Out envelope too. If the student is returning to live on campus next year, we will issue a new Ozzi token at check-in.
  8. Place the room key, PO Box Key (if applicable), and Ozzi token in the envelope.
  9. Drop the envelope in the drop box at each front desk.
  10. Once this is done, the student will NOT be allowed to return to the halls/apartments. Please make sure all items have been removed.

Note that by using the Express Check Out process, the student is waiving their right to appeal any charges under $500. Failure to return your key will result in a $200 lock change fee being applied to your account.

Damage Charges: Based on the condition of the room/apartment, it may be necessary to charge for damages caused in the room/suite/apartment. Once the damages are verified by professional staff, the charges will be assessed to the resident's account, and an email will be sent to the student's University email. In the instance that the resident is charged, be aware that they are responsible for payment of said charges. The University is required to turn over any unpaid debt 60 days after the semester is over to the Attorney General's office.

Improper Checkout: In the event the student just packs up your belongings and leaves, we consider this an improper checkout and will be charged in addition to any other necessary charges.

Trash: Be sure all trash and unwanted items are in bags and do not dump loose trash in the trash bins/dumpsters. Utilize the building’s trash rooms/trash cans to dispose of all trash. If the trash room is full, the resident should bring trash to the dumpsters outside the building. Do not leave trash in the hallways, breezeways, community rooms, on the floor of the trash rooms, or next to the trash cans.

Apartment Summer Storage Program

For an on-campus resident to be eligible to participate in the Apartment Summer Storage Program, a resident must meet the following criteria:

  • Be a current Legacy Park or Heritage Apartments resident
  • Have submitted a housing application and selected the same room for the upcoming academic year
  • Be enrolled full-time for the upcoming fall semester
  • Have no Housing debt or account holds
  • Remain assigned to the same bedroom and apartment for the upcoming academic year

All personal belongings must be stored in the resident's bedroom. This includes all living room and kitchen items. The University is not responsible for personal belongings left in the apartment bedroom. We recommend that residents purchase renters' insurance to protect against damage to their personal belongings. Residents participating in Apartment Summer Storage will check out of the apartment for the summer and will not have access to the apartment until Fall check-in.

Students participating in the program are not eligible for a room change. The application for Apartment Summer Storage can be found on the Housing Portal under Housing Forms.
