Transition to a Biweekly Pay Cycle - Monthly Employees

The University is transitioning from a monthly pay cycle to a biweekly pay cycle. 

As part of a University-wide initiative, All employees currently paid on a monthly basis will transition to a biweekly pay cycle effective August 1, 2026.

During the transition period, there will be a payment timing difference for both 9-month employees and 12-month employees.

Because of this change, employees are strongly encouraged to review personal budgets, automatic drafts, and scheduled payments in advance to prepare for the transition.

The transition supports:

  • Standardized pay practices across the University  
  • More efficient and accurate time reporting  
  • Current vacation and sick leave balances  
  • Improved payroll compliance and accountability

What Is Changing?

Employees currently paid on a monthly basis will transition to a biweekly pay schedule consisting of two-week pay periods that run from Saturday through Friday.

Under the biweekly schedule, employees will be paid every other Friday after the pay period has ended.  As a result, paychecks will generally be smaller but received more frequently.  The new pay cycle can impact certain payroll deductions, such as additional withholdings.

What Is Not Changing?

Your annual salary is not changing.  

Your annual leave accruals are not changing. 

Timing Difference During Transition

12-Month Employees

Employees such as unclassified staff, graduate assistants, and student workers will receive:

  • Their final monthly paycheck on July 31, 2026 
  • Their first biweekly paycheck on August 21, 2026 
  • Their second biweekly paycheck on September 4, 2026 

As a result, during the month of August, these employees will receive only one biweekly paycheck, representing approximately 1/26 of annual salary. Please review the Biweekly Transition Pay Schedule for all upcoming payment dates.

Health Insurance Transition

Because 12-month employees will receive only one paycheck during the month of August, one-half of the August insurance premium deduction will remain unpaid at the end of the month.

To account for this timing difference, the unpaid portion of the premium will be deducted equally from the August 21, 2026 and September 4, 2026 paychecks.

9-Month Employees

Faculty and adjunct faculty, including those who elect to receive pay over 26 paychecks, begin their work year on August 15, 2026.

Because of this schedule, 9-month employees will not receive a paycheck during the month of August. Their first biweekly paycheck will be issued on September 4, 2026.  Please review the Biweekly Transition Pay Schedule for all upcoming payment dates.

Health Insurance Transition

Because 9-month employees will not receive a paycheck during the month of August, the August insurance premium deduction will remain unpaid at the end of the month.

To account for this timing difference, the unpaid portion of the premium will be divided equally and deducted from the September 4, 2026, September 18, 2026, October 2, 2026, and October 16, 2026 paychecks.

Questions About the Transition

No. The pay cycle transition changes the timing and frequency of pay, not your annual salary. 

Under a biweekly schedule, annual salary is divided across 26 paychecks instead of 12 monthly paychecks. 

Yes. Employees will be paid every other Friday.  Please review the Biweekly Transition Pay Schedule for upcoming payment dates.

Employees should begin preparing for the transition as early as possible.

Recommended steps include:

  • Review personal budgets and monthly expenses  
  • Evaluate automatic payments and bank drafts  
  • Plan for the timing difference during the transition  
  • Review direct deposit allocations  
  • Review federal and state tax withholding elections  

Additional Tax Withholding Reminder

Because additional tax withholding elections are applied on a per-paycheck basis rather than a monthly basis, the elected amount will be withheld from every biweekly paycheck under the biweekly pay schedule.

Employees who wish to update their withholding elections should complete a new Form W-4 (federal withholding) and/or Form L-4 (state withholding), as applicable, and submit the completed form(s) to the Payroll Department.

Some deductions will be spread across 26 biweekly paychecks, while others will be withheld only twice per month. 

Generally taken every paycheck:

  • Percentage-based deductions  
    • Federal and state taxes 
      • Including additional tax withholding amounts 
    • Mandatory retirement contributions 
    • Garnishments

Generally taken twice per month:

  • Flat dollar deductions 
    • Health and supplemental insurance (dental, vision, etc.)
      • There may be a temporary increase due to timing difference during the transition period.
    • Voluntary deductions, including foundation and athletic contributions, as well as 403(b) and 457 retirement contributions.
      • Deduction amounts per pay cycle will be converted to biweekly deductions based on the current authorization form.
        • For example, an employee currently authorizing a $100 deduction per monthly paycheck will transition to a $50 deduction per biweekly paycheck, resulting in 24 deductions annually.
      • Any changes to the deduction amount beyond this automatic conversion will require submission of a new authorization form.  Forms are available on the Human Resources website.

Three-Paycheck Months

In months that contain three biweekly paychecks (typically occurring twice each year), certain flat-dollar deductions will not be withheld from the third paycheck.  As a result, employees may see a temporary increase in net pay during those pay periods.

No. Employees will continue to earn the same amount of leave annually. Leave will simply accrue on a biweekly basis instead of monthly.
